Reset Your RingFree Admin Password and Navigate Back to the Admin Portal

If you forgot your RingFree admin password, you can reset it from the Orbit login screen in a few minutes. After you reset it, you will land in your user profile area. From there, you can jump back into the admin side of the phone system using “Back to Customer

This guide walks you through both steps, with clear clicks and what to expect on each screen.

Before you start

  • You need access to the email address used as your admin username (your username is your email).

  • Keep your inbox open so you can grab the one time code quickly.

Orbit login page

  • Show the Orbit URL in the browser and the username field.

Step 1: Go to the Orbit portal

  1. Open your browser

  2. Go to orbit.ringfree.com

  3. On the sign-in screen, enter your username (this is your email)

Step 2: Start the password reset

After entering your username:

  1. Click Continue

  2. Select “Forgot Password” (this is where the system begins the reset flow)

Step 3: Get your one time code from email

RingFree will send a one time code to the email address linked to your admin account.

What to do

  1. Open your email inbox

  2. Look for the email with your one time code

  3. If you do not see it, check:

    • Junk

    • Spam

  4. Copy the code

You should usually receive the code right away.

Step 4: Enter the one time code and verify

  1. Go back to the Orbit password reset page

  2. Paste the one time code into the verification field

  3. Submit or verify the code

Once the code is accepted, the system will move you to the new password screen.

Step 5: Set your new password

  1. On the new password screen, enter your desired password

  2. Confirm the password if prompted

  3. Submit to save the new password

Once successful, sign in with your new password.

Step 6: Confirm you landed in your user profile

After you sign in, you will land in your user profile section by default.

This is normal. You have not lost admin access.

Step 7: Return to the admin section using “Back to Customer”

To get back to the admin controls for the phone system:

Click Back to Customer

After you click it, you will be taken to the admin portal where you can manage users, numbers, extensions, IVRs, and call flow.

Step 8: Find key admin tools in the left sidebar

Once you are back in the admin area, look at the left sidebar navigation. You will see tools like:

  • Orbit Users (add and manage users)

  • Phone Numbers

  • PBX Extensions

  • IVR

  • Enhanced Ring Group

  • Schedules

  • Call Flow

  • Subscriptions

These are the main areas you will use to manage your phone system.

Troubleshooting and quick fixes

I did not receive the one time code

  • Wait 1 to 2 minutes, then refresh your inbox

  • Check Junk or Spam

  • Confirm you entered the correct username (your email)

  • If you still cannot get the email, contact your internal admin or RingFree support to confirm your email is linked correctly

My code is not working

  • Make sure you are entering the latest code (use the most recent email)

  • Do not add spaces before or after the code

  • If the code expired, restart the reset flow so a new code is sent

I reset my password but cannot find admin settings

  • Go to your profile area

  • Click Back to Customer

  • Use the left sidebar menu to access Orbit Users, PBX Extensions, IVR, and Call Flow tools
