Overview

RingFree Communicator Desktop allows you to choose your preferred device for placing and receiving calls. This flexibility means you can work from your computer’s built-in softphone, your physical desk phone, or your RingFree Mobile App, all while staying connected to the same extension and call history.

Device Selection Menu

The Phone window includes a device selector at the bottom (labeled SOFTPHONE, DESKPHONE, or your mobile number).
To change devices:

1. Click the dropdown arrow next to the current device.
2. Select:
   • Softphone (default) – Uses your computer’s microphone and speakers/headset.
   • Deskphone – Uses your physical IP phone connected to the same extension.
   • Mobile App – Routes calls to your RingFree Mobile App.
   • Any other linked numbers (e.g., personal mobile) if configured by your admin.
      

Built-In Softphone

What it is:
A VoIP client integrated into the RingFree Communicator Desktop app, allowing calls directly from your computer.

When to use:

• Working remotely without access to a desk phone.
• On the go with a laptop and headset.
• When you need to click-to-dial from contacts or call history.

Pros:

• No additional hardware needed.
• Works anywhere with internet access.
• Full integration with RingFree features (chat, conferencing, voicemail).

Cons:

• Dependent on computer’s audio quality.
• Requires a good internet connection and headset for best performance.

Desk Phone

What it is:
A physical IP phone at your desk linked to your RingFree extension.

When to use:

• In the office where you have a dedicated workstation.
• When you prefer traditional phone ergonomics.

Pros:

• Reliable call quality.
• Physical handset and keypad.
• Can be used without the desktop app open.

Cons:

• Fixed location use.
• Requires the desk phone to be on the same network or properly provisioned remotely.

Mobile App

What it is:
The RingFree Mobile App on iOS or Android linked to your extension.

When to use:

• Away from the office or working on the go.
• When you want calls to follow you anywhere.

Pros:

• Portable—answer and place calls from anywhere.
• Access to call history, voicemail, and other features.
• Works over Wi-Fi or mobile data.

Cons:

• Call quality depends on mobile signal or Wi-Fi strength.
• Uses mobile battery and data.

Switching Devices for a Call

1. Open the Phone window in RingFree Communicator Desktop.
2. At the bottom, click the current device name.
3. Choose your desired device from the list.
4. All new calls will be made from and delivered to the selected device until you switch again.

Best Practices

• For Remote Work: Use Softphone with a noise-canceling headset.
• For Office: Use Deskphone for stable, high-quality audio.
• For Mobility: Use Mobile App with strong Wi-Fi or LTE.
• Always confirm your active device before placing important calls to avoid routing to the wrong hardware.
